Job Title: Senior Administrator
Work Hours: Full Time – 40 hours/week (in office)

Despite having a head-office in the small community of Collingwood, Ontario, Canada Gives supports donors and their trusted advisors all across Canada. With a commitment to enhancing our clients’ philanthropic experience, we are looking for a Senior Administrator to complement our team.
As a Senior Administrator, you will be responsible for a wide array of administrative services that support the daily operation of the office while providing support to the Accounting Manager within the organization.
Responsibilities include but are not limited to:

  • General office administration
  • Managing all incoming and outgoing mail
  • Maintenance of office equipment
  • Purchasing of supplies
  • Maintaining donor and advisor contact lists
  • Coordinating as required with Alberta office and Toronto office
  • Drafting letters, memos, and other correspondence and materials as needed
  • Downloading monthly/quarterly account statements
  • Tracking HST on investment statements
  • Reconciliation of daily banking
  • Preparation of invoices
  • Managing credit card receipts/invoices as well as petty cash
  • Coordinate with vendors and suppliers
  • Assisting with the granting process
  • Uploading documents to our donor portal
  • Other duties as assigned, based on the operational and business needs of the Charity

 

 

Qualifications:

Qualifications

  • 5+ years in a senior administrative role, preferably with support in accounting
  • Minimum high school education with preference to candidates with post-secondary qualifications in business or a related field
  • Proficiency in Microsoft Office, including Word, Excel, Outlook, CRM
  • Knowledge of QuickBooks or similar bookkeeping program, and/or an understanding of basic accounting principles
  • Familiarity with investment statements
  • Excellent written and verbal communication skills
  • Well organized and able to manage time independently
  • Strong attention to detail and problem-solving skills
  • Understanding the private client culture in financial services
