Job Description

Seeking a tech-savvy person to become a team member of The Clever Office & our diverse clients – We will train the right candidate. The Clever Office is where entrepreneurs and self-starters come for administrative support. Every day we help our clients & their customers – We all have a great day when working together for great communication, whether that communication entails filling out contact information & booking appointments, or providing information about services over the phone, sending notices and reminders, or sharing motivation & information on social media.

As a growing small business, The Clever Office is seeking a like-minded person to support reception. This is a great opportunity for someone who is adaptable, computer-savvy

IF YOU…. Can answer the phone, type well, are tech-savvy, and an extrovert, those are all the key requirements of this part-time position and we’d love to hear from you.

Admin/ Reception Duties:

  • Answer phone for Clever Office and multiple virtual reception clients
  • Reply to email requests for Clever Office and clients
  • Outgoing calls to confirm bookings, etc, for Clever Office and clients
  • Shared reception duties for office members (greeting clients, offering coffee/tea, providing assistance when needed)
  • Use software systems for virtual clients such as Roofr, Google Calender, Clockify, JobNimbus, Bitrix, Jobber
  • Reply to website chat requests using proprietary system for Clever Office services
  • Create and process appointment bookings, estimates, job requests,
  • Receive and sort mail, send mail, send and receive shipments, send notifications and reminders.
  • General office clean-up and dishes daily. Every Friday sweep & mop floors, change all office garbages.
  • Keep office inventory (ie printer paper, pens/pencils, paper towel)
  • Social Media posts
  • Additional responsibilities depending on client requests.

Bookkeeping, Marketing & Social Media, Customer Support & Sales, Website Development, and Copywriting, are all specific fields of future opportunity that can start with this part-time position.

 

Qualifications:

Suggested skills for a successful candidate:

  • Intermediate Microsoft Office skills (Word, Excel, Outlook)
  • Able to problem solve and learn new programs/software/apps
  • Knowledge of basic photo manipulation – Cropping, resizing, a little editing in programs like Photoshop, Word or Power Point.

Necessary skills for a successful candidate:

  • Typing speed of 65+WPM, as you will be typing customer information in while on the phone.
  • A good mindset, enabling a confident and calm persona while interacting with clients and their customers.
  • Good working memory and organization.
