Job Title: Coordinator, Legislative Services (Full-Time)
Work Hours: Normal hours of work are thirty-five (35) hours per week, usually Monday through Friday, 8:30 a.m. to 4:30 p.m. with a one (1) hour unpaid meal break. Flexibility in scheduling is necessary with requirement to attend to functions outside of normal work hours including Council/Committee meetings, with the occasional requirement to change shifts to work evenings or weekends to accommodate high volume periods, or to work overtime as needed.
Wage: $57,057.00 to $72,781.80 ($31.35 to $39.99 per hour)
Anticipated Start Date: May 2024

Reporting to the Manager, Legislative Services/Deputy Clerk, the Coordinator, Legislative  Services is responsible for the day-to-day administrative coordination of the Legislative Services Division which includes the preparation and distribution of Council/Council Committee agenda packages, distribution of notices such as temporary road closures, act as a Commissioner of Oaths and Deputy Issuer of marriage licences and vital statistics administration; updating department website content, responding to enquiries, research and policy writing, and associated liaison duties. The main duties and responsibilities of the position are in the areas of Council and Committee Meeting coordination/support, vital statistics and commissioning, and other division functions.




Knowledge, Skills, and Experience:
1.            Diploma in Public or Business Administration or related discipline.

2.            Accredited Municipal Professional designation or willing to obtain and current (or eligible for) membership in the Association of Municipal Managers, Clerks and Treasurers of Ontario.

3.            One (1) year of municipal experience.

4.            Demonstrated knowledge of local government functions/responsibilities, Council/Committee processes and protocol.

5.            Excellent administrative, communication, interpersonal, organizational, time management, analytical, problem-solving, report writing, minute taking and public relations skills, together with the ability to use tact and discretion and to deal courteously and effectively with the public and fellow staff members.

6.            Ability to multi-task, cope with interruptions and work under pressure to meet multiple deadlines, exercise discretion and good judgment particularly when handling highly confidential/sensitive information.  Possess a high level of initiative and personal integrity.

7.            Thorough working knowledge of Windows and Microsoft Office applications and office equipment.  Knowledge of TOMRMS and meeting management software (e.g., iCompass) an asset.

8.            Ability and willingness to travel within the community as required.

9.            Possess a current Criminal Record & Judicial Matters Check (Level 2) with results satisfactory to the employer, and a valid standard first aid & CPR/AED Level C certification (or willing to obtain).
