The Executive Assistant (“EA”) provides executive and personal support in a one-on-one working relationship. The EA serves as the primary point of contact on all matters relating to the office of the CEO. The EA also serves as a liaison to contacts and other team members; organizes and coordinates external relations efforts. The EA must be creative and enjoy working within a growing, entrepreneurial environment that is client focused. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, analytical, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The EA will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Responsibilities for this position include:

  • Complete a broad variety of administrative tasks, including email and calendar management and completing expense reports
  • Compose and prepare correspondence that is sometimes confidential
  • Plan, coordinate, and ensure that the CEO’s schedule is followed and respected
  • Communicate directly, and on behalf of the executive, with partners, staff, and others, on matters related to the CEO’s initiatives
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the executive, including those of a sensitive or confidential nature and determine the appropriate course of action, referral, or response
  • Provide a bridge for smooth communication between the CEO’s office and internal departments; demonstrating leadership to maintain credibility, trust, and support with all team members
  • Work closely and effectively with the executive to keep her well informed of upcoming commitments and responsibilities, following up appropriately
  • Provide leadership to build relationships crucial to the success of the organization and manage a variety of special projects for the CEO, some of which may have organizational impact
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures
  • Perform other miscellaneous duties as required.


The ideal candidate for this position will possess the following:

  • A minimum of 3 years of experience working as a Personal Assistant, Executive Assistant, Administrative Assistant, Virtual Assistant, or Office Admin Assistant
  • Experience specifically with managing an executive’s email inbox
  • Discretion and trustworthiness: you will often be a party to confidential information
  • Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, and external partners.
  • Expert-level writing and verbal communication skills
  • Proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity
  • Highly resourceful team player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and exhibit the highest level of client service and response
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a growth oriented, fast-paced environment
  • Proficient in Microsoft Office (Outlook, Word, Excel, Teams, and PowerPoint), including Zoom

Vaccination Policy:

Candidates must be fully vaccinated as there is travel required for this position.
