Job Description

From an environmental and drinking water standpoint, Water First partners with Indigenous communities to address local water challenges through education, training, and meaningful collaboration. With significantly expanding operations and community partnerships, we are creating a new and dedicated position at Water First.

We are currently seeking a candidate for a newly created Executive Assistant role, reporting to the Executive Director & Founder. This is a part-time role, approximately three days per week with some schedule flexibility, working both from home and in person from the head office in Creemore, Ontario. Candidates must be available to travel as needed to the Creemore office.

Job Description

The Executive Assistant (“EA”) provides executive support in a one-on-one working relationship. The EA serves as the primary point of contact on many matters relating to the office of the Executive Director. The EA also serves as a liaison to contacts and other team members; organizes and coordinates external relations efforts and oversees special projects. The EA will champion Water First’s brand and demonstrate commitment and involvement in Water First’s mission through participation in our charitable work, social and environmental programs, and events. The EA must be creative and enjoy working within a growing, entrepreneurial environment that is mission-driven, results-driven, and community-oriented. The ideal individual will be able to exercise sound judgment in various situations, with strong written and verbal communication, administrative, analytical, and organizational skills, and maintain a realistic balance among multiple priorities. The EA will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Responsibilities for this position include:

  • Completing a wide variety of administrative tasks, including email and calendar management, expense reports, and miscellaneous matters/errands.
  • Composing and preparing correspondence that is sometimes confidential.
  • Preparing briefing notes, meeting documentation and meeting minutes.
  • Planning, coordinating, and ensuring that the Executive Director’s schedule is followed and respected.
  • Communicating directly and on behalf of the Executive Director, with partners, staff, and others, on matters related to the Executive Director’s initiatives.
  • Researching, prioritizing, and following up on incoming issues and concerns related to the Executive Director, including sensitive or confidential ones, and determining the appropriate course of action, referral, or response.
  • Providing a bridge for smooth communication between the Executive Director’s office and internal departments, demonstrating leadership to maintain credibility, trust, and support with all staff.
  • Working closely and effectively with the Executive Director to keep him well informed of upcoming commitments and responsibilities and following up appropriately.
  • Providing leadership to build relationships crucial to the success of the organization and the Executive Director and managing a variety of special projects.
  • Drafting letters, personal correspondence, and other tasks that facilitate the Executive Director’s ability to lead the company effectively.
  • Prioritizing conflicting needs; handling matters expeditiously, proactively, and following through on projects to their successful completion, sometimes with deadline pressures.
  • Travelling, as required for meetings and events.
  • Performing other miscellaneous duties as required.


The ideal candidate for this position will possess the following:

  • A minimum of 3 years of experience working as a Personal Assistant, Executive Assistant, Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
  • Experience with managing an executive’s email inbox.
  • A valid Ontario driver’s license and a clean driving record.
  • A current passport.
  • Discretion and trustworthiness: you will often be a party to confidential information.
  • Post-secondary education is considered an asset.
  • Strong organizational skills and the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Solid interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
  • Expert-level writing and verbal communication skills.
  • Proactive approaches to problem-solving with strong decision-making capability.
  • Emotional maturity.
  • A highly resourceful team player with the ability to be extremely effective independently.
  • Proven ability to deliver the highest level of customer/client service.
  • Forward-looking thinker, seeking opportunities and proposing solutions.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and social media web platforms.
  • Flexibility to periodically work outside of regular business hours on an as-needed basis.
  • Candidates must have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada under relevant provincial or territorial legislation and regulations.

Candidates must be fully vaccinated as there is in-office meetings required for this position.
